Extracting W-2 Data from Quickbooks and Peachtree

Currently, neither Intuit's QuickBooks Pro program nor Sage's Peachtree program allow users to easily extract and submit withholding data in a form usable by the Kansas Department of Revenue (KDOR). Information can be exported out of these programs in a comma separated value (CSV) spreadsheet format then modified and combined with other data to create an uploadable file, but this can be time consuming and error prone. While there are third party utilities available that will put the information into a suitable format, these programs must be purchased by the tax payer.

The KDOR has created a Microsoft Excel template that will allow users to create a state-defined CSV file with withholding data retrieved from QuickBooks or Peachtree.  The CSV file can then be uploaded directly into the Department's WebTax withholding application.

NOTE: The QuickBooks and Peachtree conversion tool is new for the 2007 tax season. While the Department has made every effort to provide a useful, user-friendly and accurate tool, it may be necessary to periodically update the template based on users' experience.  Bookkeeping information maintained in QuickBooks and Peachtree may vary by user. Filers should review their information once loaded into the template for accuracy. Should you encounter and error or inconsistency in your data, please notify the Electronic Services unit.

Online File Testing

Once the CSV file is created from the KDOR Conversion Template, the file should be tested using the Department's validation page. The testing options should be set to year 2007 in a CSV format without header rows. You may be required to tweak information within the KDOR Conversion Utility then re-create and re-test your information before you receive valid results. Once you have a valid file, you can log into the WebTax application and complete your W-2 upload.
