City/County Tax Reports

Kansas law authorizes the department to provide to certain city/county officials excise tax information for their respective jurisdictions. The information provided is confidential; consequently, the department has created a secure web page which requires a “Log In” identification and a “Personal Identification Number” (PIN). To ensure that we have current information and maintain a secure site city/county officials are required to register annually. The following reports are available:

  1. Sales tax entity reports: This monthly report can be released to City/County Clerks or Treasurers or Finance Officers (2005 Senate Bill 13 Section 2). The report includes the following: taxpayer name, taxpayer address, city, state, zip, tax account number, filing frequency, tax collection month, tax collection year, process date, liability, paid amount, DBA and NAICS.
  2. Use tax entity reports: This monthly report can be released to City/County Clerks or Treasurers or Finance Officers (2005 Senate Bill 13 Section 2). The report includes the following: taxpayer name, taxpayer address, city, state, zip, tax account number, filing frequency, tax collection month, tax collection year, process date, liability, paid amount, DBA and NAICS.
  3. Transient guest tax reports: This monthly report can be released to City/County Clerks or Treasurers or Finance Officers (2005 Senate Bill 13 Section 2). The report includes the following: account number, dba name, address, city, state, status, filing frequency, tax received, and 98 percent of tax.
  4. Liquor excise tax reports: This monthly report can be release to City/County Clerks or Treasurers or Finance Officers (2005 Senate Bill 13 Section 2). The report includes the following: account number, dba name, address, city, state, status, filing frequency, tax received, percentage and category.
  5. Sales tax registrant reports: This annual report can be released to County Appraisers (K.S.A. 74-2424). This report is intended to aid the appraisers' office in discovering new businesses in order to inform the taxpayer of applicable commercial personal property laws, forms and instructions.

To obtain one of the above tax reports, please complete the Request for City/County Reports form (PR-42a) and submit the request either by fax or mail as indicated on the form.
